Privacy and cookie policy

Last updated 24 October 2026.

Who we are

The data controller for this website is UK Global Support Network Limited (“GSN UK”, “we”, “us”), 222 Gillingham Road, Gillingham, Kent. Contact us about your data at info@ukglobalsupportnetwork.co.uk or +44 7946 236531.

What we collect

We only collect what you give us through our forms:

  • Convention registration: name, email, phone, organisation, number of seats, your town hall question and any accessibility needs.
  • Membership: name, date of birth, address, postcode, phone, email, occupation, UK region, membership category, interests, and your Academy and chapter interests.
  • Volunteering, sponsorship, adverts, chapters, the Civic Leadership Academy and contact: your name, contact details and what you tell us.

Some of this may reveal your political opinions (for example, an interest in standing for election) or your health (for example, accessibility needs). These are special category data. We only process them with your explicit consent, which you give by ticking the consent box, and only for the purpose stated on the form.

Why we use it and our lawful basis

  • To register you for events and send your ticket: consent and, once registered, contract.
  • To process your membership and keep a register of members: consent and legitimate interests in running a membership organisation.
  • To reply to enquiries from volunteers, sponsors, advertisers, chapter organisers and Academy applicants: consent.
  • To send news and event updates by email, only if you ticked the box: consent. You can unsubscribe at any time.
  • To keep the website secure and stop abuse: legitimate interests.

Who we share it with

We never sell your data. We use trusted service providers who process data on our behalf under written agreements:

  • Supabase: secure database hosting for form submissions.
  • Resend: sending confirmation emails and tickets.
  • Vercel: hosting this website.

Where a provider stores or accesses data outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

Only authorised GSN UK officers can see submissions, and they must sign in to do so.

How long we keep it

  • Convention registrations: up to 12 months after the event.
  • Membership records: while you are a member and for up to 2 years after you leave.
  • Other enquiries: up to 2 years after our last contact with you.

Your rights

Under UK GDPR you have the right to access your data, have it corrected or deleted, restrict or object to our use of it, ask for a portable copy, and withdraw consent at any time. To use any of these rights, email info@ukglobalsupportnetwork.co.uk. We will reply within one month.

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Cookies and similar storage

We do not use advertising, analytics or tracking cookies. We only use strictly necessary storage:

  • Cookie notice: remembers that you have seen our cookie notice (stored in your browser’s local storage).
  • Officer sign-in: keeps authorised officers signed in to the admin area (local storage, set only when an officer signs in).

Our convention page shows a map from OpenStreetMap. Loading the map sends your IP address to OpenStreetMap so it can display the map tiles; see the OpenStreetMap Foundation privacy policy.

Because this storage is strictly necessary, it does not need your consent under the Privacy and Electronic Communications Regulations, but you can clear it at any time in your browser settings.

Changes to this policy

We will update this page if anything changes. The date at the top shows when it was last updated.
